Tips for Planning your Next Event

Planning an event, whether it be a large wedding or a smaller family gathering, can be stressful! Here are some of my favorite event planning tips to help you with the planning process.

STAY ORGANIZED

1. Use a binder to keep all your information and ideas together in one place. Use Tabs to keep different aspects of your event neatly organized and easy to reference.

2. If you are planning a wedding, it can be very helpful to create a separate email to correspond with vendors.This way, all your messages are conveniently in one place.

3. If it is a large family reunion, create a Facebook Event to help communicate with family members and keep each other informed.


GUEST LIST

1. Develop your guest list in advance (of course this may change) so that when you begin looking for a venue, you know whether or not your event can be accommodated.


SECURE THE LOCATION

1. If you are planning an event and really have your heart set on a particular venue, call right away to check on availability. If the event is a large event, for instance a wedding, book as far in advance as possible! (Most couples begin securing their venue approximately a year in advance.)

2. Make sure to get all the information! Ask what their cancellation policy is, if your deposit is non-refundable, and make sure the venue offers adequate space for your event. Know their policies!


VENDORS

1. Know what your venue has to offer! Do you need a caterer or do they provide all the food and beverages in-house like we do here at Bucks Run Golf Club?

2. Do they have an Event or Banquet Coordinator and how much will they assist you with in planning your event? I recommend finding a venue with a flexible Event Coordinator who is prompt with responses and will help answers your questions or offer suggestions when you need them.

3. Make sure to lock-in your vendors whether it be your favorite DJ or Florist!


DELEGATE TASKS!

1. If you have people who want to lend-a-hand and help, don’t be afraid to delegate tasks to them! You will be surprised how many people want to be involved and help out when you’re planning an event.

2. Finally, if you feel overwhelmed, take a step back to reflect on why you are planning this event; don’t let the stressful parts of planning overshadow the whole event.
